Manage who can see a channel

A channel is private until you share it. Sharing is managed in one place, the Sharing panel, and every share is recorded in VNCdirectory as an access grant, so the same rules apply in every VNClagoon product.

The channel owner (the person who created it), anyone holding a manager role on the channel, and the tenant or organisation administrators. Everyone else sees the channel but cannot change its audience or its shares.

  1. Open the channel.
  2. Select Share in the channel header.
  3. The panel lists everyone it is shared with and lets you add or revoke a share.

Share with a person, a department or a role group

Section titled “Share with a person, a department or a role group”
  1. Choose Person, Department or Role group.
  2. Pick the person, department or role group.
  3. Optionally set Expires to In 7 days, In 30 days or In 90 days. The default, No expiry, keeps the share until you revoke it.
  4. Select Share.

A person is notified and subscribed to the channel. Departments and role groups are not notified (no team-wide spam); they see the channel when they open VNCchannels.

For a department or role group the panel states how many people the share reaches, for example Reaches 42 people, before you create it. Next to an existing share the same figure appears as N people, so you can see the size of a share at a glance.

  1. Open the Sharing panel.
  2. Select Revoke next to the person, department or role group.

Revoking removes the access immediately. A revoked person also loses the channel from their sidebar, because revoking removes the subscription the share created.

The audience you chose at creation (Private, My department, Everyone in the organisation) can be changed in the channel Settings. A subchannel can never be wider than its parent, and a channel can never be wider than its classification allows.

Changing the audience is not a substitute for sharing: sharing a private channel with a department keeps it private while giving that department access.

By default a share on a parent channel also reaches its subchannels. The channel Settings switch Subchannels inherit this channel’s members controls this per channel. Turning it off keeps subchannel access separate, which is useful when a subchannel holds more sensitive material.

Trashing a channel hides it and keeps its content, so it can be restored. Permanent removal (available to administrators, from the trash only) also revokes every share on that channel, so no grant points at a channel that no longer exists.
