Searchable across the suite
VNClagoon has one shared way of finding things across its products. When you add a file or a folder, VNCfiles feeds it into the platform knowledge graph – the shared picture of what people, documents and topics connect to - so the same content can be reached from the other products you use, not only from the file list.
What happens when you add a file
Section titled “What happens when you add a file”- The file’s name is registered.
- Where possible, its text is read so search and the assistant can match on its contents, not just its title.
- The file and its folder are contributed to the knowledge graph - quietly, in the background.
You do not do anything to switch this on; it travels with the file.
What is read - and what is not
Section titled “What is read - and what is not”- Documents (text, Markdown, CSV, JSON, PDF, word-processing files) yield their text.
- Scanned pages and images are turned into text with OCR, so a scan or a photo becomes findable by its words.
- Reading is best-effort: a file that cannot be read simply stays findable by its name, and an upload never fails because of it.
- Spreadsheets and presentations are indexed by name (their contents are not read yet).
- End-to-end-encrypted folders are never read - the server holds only ciphertext, so encrypted content never reaches search, the assistant or the graph.
Why it matters
Section titled “Why it matters”Because the content is shared across the suite, a search can find a VNCfiles document when you are working in another product. A name, a phrase, a scanned invoice - find it once, reach it everywhere. The same underlying index powers Ask your files inside VNCfiles.
When it updates
Section titled “When it updates”The contribution is refreshed when a file changes - a new upload, a save from VNCoffice-c, a rename or a move. It is fire-and-forget: if the shared graph is briefly unavailable, your upload or save still succeeds and is retried on the next change.
